Running school transport means managing a small fleet: vehicles, drivers, attendants, routes and hundreds of students. When records are scattered across files and phones, important renewals get missed and bus lists go out of date.
Vehicle records
For every vehicle, keep:
- Registration number and seating capacity
- Owner details (school-owned or contracted)
- Registration certificate, fitness certificate, insurance and permit, with expiry dates
- Pollution certificate with expiry date
- Service and repair history
- Assigned route
Set reminders well before each expiry date, at least 30 days in advance.
Driver and attendant records
For every driver and attendant, keep:
- Name, contact number and address
- Photo
- Driving licence number, category and expiry (for drivers)
- Police verification status and date
- Joining date and assigned route
- Emergency contact
Never allow a driver or attendant to work on a route before verification is complete.
Route and stop records
- Route name and assigned vehicle
- Stops in order with pickup and drop timings
- Monthly fare for each stop
When a stop or route changes, update the record immediately so bus lists and fees stay accurate.
Student assignments
For each transport student:
- Route and stop
- Start date and, if applicable, end date
- Special fare, if any
This list is used every day by attendants and every month for fee generation. It must always be current.
Contractor buses
If some buses are operated by a contractor, keep the contract, the contractor's contact details and copies of their vehicle and driver documents. The school is still responsible for student safety, so the same checks should apply.
Use one system
Spreadsheets and paper files work for one or two buses. As the fleet grows, a transport module inside your school management system keeps everything connected:
- Routes and stops with fares
- Drivers and vehicles
- Student assignments
- Transport fees in monthly invoices
When these are connected, changing a student's stop automatically updates their fee from the next month.
Monthly review
Once a month, the transport in-charge should check:
- Upcoming document expiries
- Vehicle utilisation (seats filled versus capacity)
- New students needing transport
- Complaints and incidents
Summary
Organised transport records protect students, keep the school compliant and make daily operations smoother. Keep everything in one place, set reminders for renewals and review monthly.
